Federal Work Study Supervisor Information

What steps do I need to take to hire FWS Students?

The following steps are required to hire federal work study students:


Step 1 Submit Work-Study Student Request Form and Supervisor Agreement

Step 2 Interview Student Process

FWS Student Award and Notification - Students were notified of their FWS award and to view their award letter through WebAdvisor. On WebAdvisor they have a link to their Work-Study Instructions. The students are instructed to:
  • View and obtain job postings online and to schedule appointments for an interview with FWS supervisors.
  • Show/provide their financial aid award letter to prospective FWS supervisors as verification of the work-study award.

The Supervisor conducts interviews from the calls and emails received from students requesting interview appointments
  • Remind students to bring their financial aid letter to their appointment.

Step 3 FWS Student Hiring Packet

The hiring supervisor is responsible for making sure the hiring process is completed.
  • Obtain and completed the Hiring Packet and FWS forms
    • Make sure the forms are complete
    • Sign the hire form
    • Have the department dean/manager sign the hire form
    • Send the entire hiring packet to the Financial Aid Work Study Coordinator to verify the FWS award
  • Select hiring packet for documents
  • Please notify those students that you do not hire so they may continue seeking employment.

Step 4 Interviews and Hiring Packet Process

After the Financial Aid Office receives the hiring packet and verifies the work-study award, we will notify you that the student may begin working. Any earnings from work prior to that must be paid from the department's budget. The Financial Aid Work Study Coordinator will forward the hire packet to the appropriate VP for final approvals.

What are my Obligations as FWS Supervisor?

The following are some of the obligations of a supervisor:
  • Provide a safe work environment.
  • Help work-study student  develop positive work ethics and provide periodic feedback on performance.
  • Develop a work schedule that will not hinder the student's academic performance. 
  • Track and tally student's FWS earnings to prevent the student worker from earning more than their awarded amount in FWS per semester and for the academic year.
  • Work with the work-study student to ensure the time sheet is accurate and submitted to the supervisor on time.
  • Submit time sheets to Payroll on time (due by the 11th of each month). This will ensure students are paid on time.
  • Charge or transfer all earnings earned over the student's awarded amount to the department.
  • Adhere to the Work-Study Supervisor Agreement.
